Privacy Policy

Last updated 2026-10-30

This policy explains what personal information VLTSCO collects when you use vltsco.ca and our learning services, why we use it, who can see it, how long we keep it, and your choices. It applies together with the Terms of Service.

What we collect

Account information: your name, email address and sign-in details.

Learning records: the work you submit (for example essays, answers and recordings), scores and bands, instructor comments, recommended practice, and your progress, with records of who graded or confirmed them and when.

Purchases and access: what you bought and your access dates. Card details are handled by our payment provider and are not stored by us.

Messages and technical data: messages you send us, and the technical information needed to run and secure the services, such as device, browser and usage records.

Why we use it

We use your information to run your account, deliver the courses and tools you registered for, assess your work and give feedback, track and show your progress, support you, keep the services secure, improve the quality of our teaching and assessment, and meet legal obligations. By creating an account you agree to these purposes. You can withdraw that agreement by asking us to delete your account, although we then can no longer provide the services.

Your submissions are treated as hypothetical practice content. You are responsible for what you submit, and we do not verify the facts in it. Please do not include sensitive personal information.

Who can see it

You, the instructors and reviewers assigned to your course, and authorized VLTSCO staff who maintain the service. Learning records are not shown to other learners and are not sold or rented to anyone for marketing.

We use service providers to host our systems, store data, take payments and send email. They may only use your information to provide those services to us. Some optional features, such as the AI Academy, use third-party AI providers; those features say so where you use them. Information may be processed outside Canada, where it is subject to the laws of that place.

How long we keep it

We keep your account and learning records while your account is active. As a matter of policy, VLTSCO intends to delete or anonymize educational records of accounts that have been inactive for 24 months, except where ongoing service, disputes, security, or legal retention requirements justify keeping them longer. This is our retention policy; we do not promise that deletion happens automatically on a fixed day, and you can ask us at any time to delete your account. When you ask us to delete your account, we delete your submissions, scores, recommendations and progress, except records we must keep by law or for security, such as purchase and payment records. Our system audit records keep only non-content details, for example that a grade was recorded, by whom and when, not the text of your work. Backups are overwritten on their normal schedule.

Your choices and rights

You can ask to access or correct your personal information, ask us to delete it, or withdraw your agreement by writing to info@vltsco.ca. We will respond within 30 days and may need to confirm your identity. If you think we have not handled your information properly, contact us first; you may also complain to the Office of the Privacy Commissioner of Canada.

Safeguards

We use access controls, encryption in transit and other reasonable safeguards to protect your information. No system is completely secure, so please protect your own sign-in details.

Children

Users must be at least 18 to register independently. For learners under 18, a parent or legal guardian must authorize participation. Please contact info@vltsco.ca before registering a minor.

Changes and contact

We may update this policy and will post the new version here, telling account holders about material changes. Privacy contact: VLTSCO Privacy Contact, info@vltsco.ca.
